Access Public Folders through Outlook

Public folders provide a way of storing and sharing emails, calendars, files, task lists and contact lists with other members of a project team, department or unit.

Public Folders are accessible from the Outlook Folder List on the Navigation Pane.

  1. If the navigation pane is collapsed/hidden on the left side, click the right arrow or the words "All Folders" to open it.  

    Expand sub-folders

  2. If you have the navigation pane open, but you don't see the Public Folders in the list, click the ellipsis (...) at the bottom of the Outlook window and select Folders.

    You should now see Public Folders at the bottom of the folders list in the Outlook navigation pane.

  3. Click the arrow next to the Public Folders icon to expand it and access the public sub-folders.

Outlook 2023

  1. Click the More Apps button. (If the More Apps button is not displayed, press CTRL-6 on your keyboard.)
  2.  Click the Folders button.
  3. The public folders will be displayed at the bottom of your folder list.
