Set up McGill email on your iOS device (Phone, iPad, or iPod Touch)


OVERVIEW

Target audience: Anyone using an iOS device to access their McGill email.

Follow the instructions below to set up your McGill Exchange Online account (Email on Office 365) on your portable iOS device. Find instructions for other devices in the Index of email setup instructions

Note that on the iPad many of the screenshots below appear on the right side of the two-column screen.

Important: McGill Outlook email storage capacity reduction starting May 31st 2024

 

On May 31st, 2024, McGill’s Outlook email storage for all students will be reduced to 20GB to comply with Microsoft’s new Storage quota for its educational sector clients. The Outlook email storage provided to staff or faculty members will not be affected.

If you are a McGill student, please verify your current storage using the instructions in this article: How to check file storage usage in outlook.

If your current storage exceeds 20GB, start by emptying your mailbox’s deleted items. As a secondary step, go through your inbox and all its online storage folders and download any "big" attachments such as videos, PowerPoint presentations or images by saving them to another location using the Save as... option in the attachment drop-down menu and then by Removing them.

Please note: these options are only available on Outlook for PC, not on the online or Mac versions. If you only use these platforms, download the attachments then save/delete the email. (Don't forget to empty the deleted items folder after.)

If you plan on storing those files on OneDrive, be aware that OneDrive's storage will also be adjusted to 20GB starting May 31st. For more information: consult the IT Services announcement on the subject.

Outlook app for iOS

The Outlook app from Microsoft is the recommended way to get your McGill email on iOS devices. It is the only app that gives you the full features of Outlook, and supports Two-Factor Authentication, which is required for students, faculty and staff entering McGill as of January 2020.

NOTE:

Outlook supports the current iOS version and two lower versions; if you are running a version that is three behind the latest release, you may no longer receive updates for the Outlook app.

  1. Download and install the Microsoft Outlook App on your iOS device.

  2. Enter your McGill email address (the same as your McGill Username unless you have created an alias); then click Sign in with Office 365.

  3. You will be brought to McGill's sign-in page. Enter your McGill password and click Sign in.

  4. If prompted to accept notifications from Outlook, click Allow.

  5. If your McGill account is enabled with Two-factor authentication (2FA) you may be prompted to enter your second method of authentication, i.e., acknowledge a notification, or enter a code sent to your device.

  6. You should now start seeing your McGill emails.

You can click the Filter button to view emails based on various attributes. The Focused Inbox is a feature that automatically learns from your behavior, moving emails you don't usually open into the "Other" tab.

 


Mail app for iOS

  1. Go to Settings.

  3. Select Accounts.

  4. Select Add Account.

  5. Choose Exchange.

  6. Enter the following information on the Exchange account information screen:

    Once you have filled in the information, tap Next.

  7. You will be prompted to Sign in to your "mcgill.ca" Exchange account using Microsoft. Choose Sign in.

  8. On the McGill sign in page (adfs.mcgill.ca), your McGill Username will already be filled in. Enter the Password associated with your McGill Username and tap Sign in.

  9. If your McGill account is enabled with Two-factor authentication (2FA) you may be prompted to enter your second method of authentication, i.e., acknowledge a notification, or enter a code sent to your device.

  10. You should now see the Exchange screen, where you can select the apps you want to use with your McGill Exchange account (Mail, Contacts, Calendars, etc.). Tap Save to complete the setup.

Your McGill Exchange account is now configured. You may wish to modify the sync settings to keep more (or less) Exchange data on your device.


Remove McGill email on iOS

  1. Open Settings.
  2. Click Mail then Accounts.
  3. Choose Exchange. Make sure you are selecting an @mcgill.ca or @mail.mcgill.ca account.
  4. Click Delete account, then confirm by clicking Delete from my iPhone.
