Before installing or upgrading Microsoft 365 apps on a McGill-owned workstation or laptop, check with your IT System Administrator.

McGill IT Services provides Microsoft 365 apps (formerly Office 365) at no charge to all students, faculty, and staff (except casual staff). It includes the following applications:

The full version of Microsoft 365 apps for enterprise (previously known as Office 365 ProPlus) can be installed on up to five compatible personal devices, such as PC, Macs, iPhone, iPads, and Android smartphones and tablets. In addition, the Office Mobile version can be used on your iPhone, Android and Windows smartphones.

NOTE: Microsoft 365 apps with OneDrive

OneDrive is a cloud based file storage component of Microsoft 365 apps used to save and access files stored on McGill's OneDrive for Business.

Be careful about storing any institutional data on OneDrive or any other cloud service. Make sure you are not in violation of McGill's Cloud Directive. See Cloud Services at McGill for additional information.

How to request & access the service

Download the software suite from the Microsoft 365 site. Use your McGill Username & Password to sign in.

You need to be connected to the internet the first time you run one of the Microsoft 365 apps, so that the activation process can be completed. After that, you only have to connect to the internet at least once every 30 days to check the status of the subscription (this is done transparently).

Faculty and staff members should NOT be installing the Office apps on McGill-supported computers. See your IT Administrator.

  1. Sign in to Microsoft 365 site. You will have to enter your McGill Username once, then a login popup will appear.
    • Sign in: McGill Username, e.g. jane.smith@mail.mcgill.ca (same as myMcGill, myCourses, etc.)
    • Password: McGill Password (same password as myMcGill, myCourses, etc.)
  2. Once logged in, you will be brought to the Home page of the Microsoft 365 portal.
  3. Select Install Microsoft 365 apps on the top right of the page
    The default download is the 64-bit version of Microsoft 365 (unless Microsoft 365 detects you already have a 32-bit version of Microsoft 365). You may wish to click Other install options to be able to select a specific version of Office apps. If you aren't sure which version to install, see Choose between the 64-bit or 32-bit version of Office.
  4. Save and depending on your browser, select Run (in Microsoft Edge or Internet Explore), Setup (in Chrome) or Save File (in Firefox.
    • If you see the User Account Control prompt that says; Do you want to allow this app to make changes to your device? Select Yes.
  5. When you activate Microsoft 365 apps on your computer, make sure to enter your McGill Username (e.g. jane.smith@mail.mcgill.ca), and not a non-McGill email address.

Installation on iOS Devices (iPhone, iPad and iPod Touch)

Note: You can install the Microsoft 365 app that combines Word, Excel, PowerPoint and Forms OR you can install the apps individually.

  1. Go to the iTunes store and search for the Microsoft 365 (Office) or the individual Microsoft 365 apps (e.g. Outlook, Word, Excel etc.).
  2. Install the Microsoft 365 (Office) app(s) on your device.
  3. After the installation is complete, open the app.
  4. When prompted, enter your McGill Username.
  5. Select Organization account and enter your McGill password.
Note: Microsoft 365 mobile apps require iOS version 15.0 or later. 

Installation on Android Devices (phone, tablet) 

Note: You can install Microsoft 365 (Office) app that combines Word, Excel, and PowerPoint OR you can install the Office apps individually.

  1. Go to the Google Play store and search for Microsoft 365 (Office) or the individual apps (e.g., Outlook, Word, Excel)
  2. Install the Microsoft 365 (Office) app(s) on your device.
  3. After the installation is complete, Open the app.
  4. When prompted, enter your McGill Username.
  5. Select Organization account and enter your McGill Password.


Cost

There is no cost for this service.


Availability

Microsoft 365 apps are available to students as long you remain at McGill.

Generally, there is a one-month grace period after your official McGill status changes (e.g., you are no longer listed as a student or staff member); once that time is up, the software will enter a state of reduced functionality (read-only).

However, an exception is made for non-retiring teaching faculty, who will be given a 12-month grace period in order to cover the time between academic appointments.

You will be notified by email, at your McGill email address, approximately one month before the license expires.
