OVERVIEW
Target audience: Students, faculty and staff
This article provides how-tos, tips and best practices for printing with uPrint - campus printing.
In this article:
NOTE:
Features, such as paper selection, staples and 2-sided print only apply to laptops or computers that have the uPrint driver installed (i.e. not using the uPrint - Anywhere solution of printing via email).
Paper size specifications
- uPrint standard paper sizes - uPrint machines can only handle letter, legal and tabloid size jobs. Do not request any other paper size - releasing such print jobs will cause the uPrint machine to stop and ask for the requested size of paper in the manual feed (bypass) tray.
- A4 jobs - A4 jobs are automatically treated as letter-size jobs.
- A3 jobs - A3 jobs are automatically treated as tabloid-size jobs.
- Automatic paper tray selection - Do not change the Automatic paper tray selection option. As long as the job is letter, legal or tabloid, the uPrint machine will automatically select the correct paper tray.
Stapling
You can choose to have your print job stapled by selecting the Staple option from the Print menu:
- Go to Print > Printer Properties
- Under Stapling select either 1 Staple or 2 Staple
- You can also select the location of the staple(s) according to the images provided.
How to select a paper tray (for labels, transparencies or special paper)
When you send a job to uPrint, the Xerox device automatically selects a paper tray to use. If you want to print on special paper, such as labels, transparencies, pre-printed paper, letterheads, etc., you must select the paper tray BEFORE sending the print job to the uPrint queue.
Assuming you have your uPrint options set to print only after manually releasing the job from a uPrint device, you can load your special paper when you go to pick up the print job.
- Go to File > Print.
- Select uPrint Mono or Colour (PS#) from your printer list.
- Click on Printer Properties (or Preferences - wording may differ depending on the program you are printing from).
- Click on the arrow next to Paper > Select by Tray. Select Bypass Tray from the list.
- Optional: if you are printing labels or transparencies, etc. that should only be printed on one side of the paper, click on the dropdown arrow under 2-Sided Printing and select 1-Sided Print.
- Click OK; then click Print.
- Go to a uPrint device, pull down the Bypass tray and load paper / stock face up with the top to the front.
- Press Confirm on the uPrint device screen once you've set the paper type and size (if it differs from the default selection).
- Release your print job, as usual.
See uPrint (Xerox) paper / stock specifications for more information on paper / stock types that can be used in a uPrint device.
2-sided printing
2-sided print is the default when printing from any uPrint device. When making photocopies, whenever possible, select 2-Sided Print to reduce paper usage.
uPrint machine display messages
Tray 3 Empty
This message pertains to letter-size jobs. The “Tray 3 Empty” message does not mean that the machine is out of letter-size paper. When Tray 3 empties, jobs continue printing from Tray 4. Only when both Trays 3 and 4 are empty (i.e. “Tray 4 Empty”) does the paper need to be replenished for a job to continue printing.
Balance Owing
The "Balance owing" message on the display is false and should be ignored. To find out the most up to date information on your balance owing, check your account via Minerva:
- Log into Minerva.
- From the Student menu, select uPrint – Campus Printing Menu.
- Select Review uPrint charges. This page displays uPrint charges (and credits) for faculty, staff and students.
General tips and best practices
Validate your print job before clicking "Print All"
When you go to a uPrint device to retrieve your print job(s), click on your print job title from the list and validate the number of pages to be printed and price. Don't simply click Print All.
Use your short name if your McGill Username contains more than 32 characters
The uPrint pop-up driver's dialogue box can handle a maximum of only 32 characters. Therefore, if your full McGill Username has more than 32 characters, you must use your short name (e.g. jsmith) to login and release a print job.
The quickest way to find out your short name:
- Swipe your McGill ID card at any uPrint machine.
- Go to Print Release and you will find your short name at the top of the display next to User.
