Affiliate accounts


OVERVIEW

Target audience: McGill community.

A McGill affiliate is an external person working at McGill or at an affiliated Hospital Research Institute (RI-MUHC, Douglas, JGH, Shriners). Affiliates work for a company which has a contractual agreement with McGill. Affiliate accounts and software/system access (e.g. Darwin) must be requested by a sponsor.

Affiliate account security updates

New affiliate accounts now have the McGill username/email format firstname.lastname@affiliate.mcgill.ca. They also require additional login security and will be automatically enabled with two-factor authentication (2FA).

Existing affiliate accounts that still have the McGill username/email format, firstname.lastname@mail.mcgill.ca, will be changed to the new format, and enabled with 2FA, upon their renewal.

Sponsors for affiliates

Affiliate accounts must be requested by a sponsor, whose function and duties vary depending on the type of affiliate account being requested.  See affiliate types below for more details.

Sponsorship duties include:


Regular affiliates

McGill staff members are eligible to request the creation or renewal of a regular affiliate account (McGill username).

A sponsor must fill out the request for the creation or renewal of an affiliate account using the links below. Regular accounts must be renewed annually.

If an affiliate leaves before their official termination date, the sponsor should contact the IT Service Desk to alert them of the new termination date and request the removal of all access privileges on the account.


McGill Service Providers

McGill Service Providers are a subset of affiliates who work on-campus, and therefore require ID cards for access to buildings and rooms.

Deans of faculties and Directors of non-academic support units are responsible for the sponsorship of McGill Service Providers. Deans and Directors may delegate sponsorship duties to a trusted senior McGill employee within their office, such as an Area Personnel Officer.

External researchers and administrative staff

McGill staff members are eligible to request the creation or renewal of affiliate accounts for external researchers, employees in administrative positions, or employees with special expertise.

AMS (Animal Management System) is an online animal care management software that centralizes electronic submissions and approvals for researchers, committee members, animal facility staff, veterinarians and administrators.
