Service overview

Mobile Application Management (MAM) is a set of policies and applications that must be applied to McGill's staff (MAM will not be applied to student profiles) to ensure secure mobile user compliance when accessing institutional data from a mobile device.

MAM enables enhanced protection of McGill's institutional data in the following ways:

Important: MAM allows McGill to comply with the government's directive on data security.

The Ministère de la Cybersécurité et du Numérique (MCN) released a directive to enhance the cybersecurity posture and digital infrastructure of Quebec’s public institutions. MAM represents the new policy and protocols that allow McGill to be compliant with the new regulation. 


Who must use it

MAM must be applied to McGill staff members' accounts that access Microsoft applications from a mobile device (both a personal device or one provided by McGill).

This is required for all McGill staff, both unionized and non-unionized, permanent, casual, affiliates, and managed service provider-type workers.

McGill community members who do not need to install MAM: Staff who do not use mobile devices to access their McGill apps/data and students.


How to prepare for MAM on your device

Configure MAM on iOS

Step 1: Install Microsoft Authenticator application

Install Microsoft Authenticator if you do not already have it. Apple App Store (17.0 +)

Step 2: Download and install Microsoft 365 applications

Download and install any Microsoft 365 applications that you might use, such as Outlook*, Teams, PowerPoint, Power BI, etc…

* Native iOS Mail and Calendar application will no longer be able to access McGill data once MAM is applied. 

Step 3: Register your device (Only possible when MAM is applied to your account)

Open an application configured with your McGill account such as Outlook. You will be prompted to Register your device and you will have to restart the now protected applications.

Step 4: Create an application PIN (This PIN can be the same as your device PIN)

Follow the instructions to setup your PIN. Once the PIN is created setup is complete. This PIN will be used to unlock application that access McGill data. If your device supports and is configured for biometrics you can use it for easier unlocking.

Configure MAM on Android

Step 1: Install the "Intune Company Portal" app.

Install InTune Company Portal if you do not already have it. Google Play (13.0 +)

"Intune Company Portal" app must be installed before setting up any Microsoft 365 managed applications. The "Intune Company Portal" application is only used to manage policy on your device. Sign in is not required in the Company Portal app.

Step 2: Download and install Microsoft 365 applications

Download and install any Microsoft 365 applications that you might require, such as Outlook*, Teams, PowerPoint, Power BI, etc…

* Native Mail and Calendar application will no longer be able to access McGill data once MAM is applied. 

Step 3: Register your device (Only possible when MAM is applied to your account)

Locking mechanism

Managed applications will lock every 12 hours and will then require you to enter your PIN. Biometric (TouchID/FaceID) unlock is required after 90 minutes of inactivity.


Cost

There is no cost associated with the use of the Mobile Application Management application.
